The task: to automate receiving consumer meter readings#

The Astana-Teplotranzit inspectors and managers previously had to collect manually hot water supply meter readings from consumers across the city every month and transfer all data to the dispatch center for billing before they contacted the GREEN-API company.

One manager is assigned to each district, street and building, so one employee may be in charge of several buildings, which means that the risk of making errors is too high. The inspectors were eventually unable to cope with the huge amount of data and consequently, it led to confusion and chaos.

The solution: connecting WhatsApp Business API via GREEN-API#

The Astana-Teplotranzit company now has its official business account connected to WhatsApp Business API (WABA), activated in the Facebook Business Manager provided by Meta. Now this process is implemented using an AI bot from a third-party integrator, which handles communication with customers while requests are processed by means of WABA from GREEN-API.

Messaging limits#

It normally takes at least 3 days up to 2 weeks to connect the WhatsApp Business API, depending on how fast the company provides the required list of documents and passes the verification. In the meantime, you can start using WABA without verification. In this case, you can have 250 template messages available to you and you can eventually increase them to an unlimited sent template messages. Moreover, the customer can receive an unlimited number of incoming messages since the service is activated. There is an option to have the official blue tick and the company name assigned in WhatsApp Business.

As of now, Astana Teplotranzit has a limit of sending 10,000 template messages daily and has a verified company name.

Results after service kick-off#

Automation has significantly reduced the workload for managers responsible for collecting meter readings, as they previously had to input a large amount of data manually. Connecting to an official WABA via GREEN-API with an AI assistant has enabled us to automate the Astana-Teplotranzit operations and ease some of the employees' workload. In the end, they received nearly 250 messages in August, as shown in the picture below.

The highest amount of messages is usually received between the middle and the end of every month, as the customers submit their meter readings to the company. The next picture shows that the AI assistant processed up to 30 K requests daily during these days.
